The complete factory audit checklist — remote verification, red flags, certifications, and inspection services for importers in 2026
By new VISION Engineering Team ·
1. Why Supplier Verification Matters
Every year, importers lose millions to fraudulent suppliers — factories that exist only on Alibaba, trading companies posing as manufacturers, and middlemen who vanish after receiving deposits. A thorough supplier verification takes 30–60 minutes but can save you your entire order value. Whether you're placing a $5,000 trial order or a $200,000 production run, the verification process is the same — and it's non-negotiable.
2. Remote Verification: What You Can Do Without Flying to China
Not every buyer can visit the factory in person. Here's what you can verify remotely before placing an order:
Business License Check: Request the supplier's business license (营业执照). A legitimate Chinese manufacturer has a unified social credit code (18 digits). Cross-check the company name, registered address, and business scope against what they claim. The registered capital gives a rough size indicator — anything under ¥500,000 is likely a small trading company.
Google Maps Satellite View: Search the factory address on Google Maps. A real factory shows industrial buildings, loading docks, and parking. If the address shows a residential building or a virtual office complex, walk away.
Live Video Call: Ask for a live walkthrough — not a pre-recorded video. Walk through the production floor, QC station, warehouse, and sample room. Real factories are messy; spotless floors with no workers is a red flag.
Export Records: Ask for a recent bill of lading (with sensitive details redacted) or a customs declaration form. A supplier who's actually exporting will have these documents readily available.
3. The Factory Audit Checklist: 12 Questions to Ask on a Video Call
Use this checklist during your video call. The answers tell you whether you're talking to a real factory or a middleman:
How many production lines do you have? (Real factory: answers immediately with a number. Middleman: hesitates.)
What's your monthly production capacity? (Cross-check: does it match the facility size?)
Show me your QC testing equipment. (Look for: electronic testing stations, not just visual inspection.)
What raw material suppliers do you use? (Real factory: names specific suppliers. Middleman: "we use the best materials.")
Can you show me a current production run for another customer? (Yes = factory. No = suspicious.)
What's your typical defect rate? (Good factories: <2% and can show you tracking sheets.)
Do you have in-house mold making? (Important for OEM — in-house mold workshop = real factory.)
What certifications do you hold? Show me the certificates. (Match the cert number against the issuing body's database.)
How many workers on the floor right now? (Pan the camera to verify.)
What's your standard MOQ per SKU? (Cross-check: real factories quote consistent MOQs.)
Can I speak with your QC manager? (Real factories: yes, and the person knows their stuff.)
Do you accept third-party inspection? (The only acceptable answer is "yes, anytime.")
4. Red Flags: When to Walk Away
Some warning signs are subtle. Others are screaming:
Refuses video call or keeps rescheduling. No exceptions. If they can't do a 15-minute video walkthrough, they're hiding something.
Prices significantly below market. A massage gun at $5 FOB is not a bargain — it's a counterfeit or built with substandard components. If it's 30%+ below the average quote, it's a scam or dangerous product.
Only shows catalog photos, no factory photos. Trading companies steal product images from real factories. Demand to see real production photos with today's date.
Can't provide certification documents within 24 hours. Legitimate factories have PDFs ready. "We need to check with the quality department" that takes 3+ days is a stall tactic.
Asks for 100% payment upfront. Standard is 30% deposit + 70% before shipment (T/T). Full prepayment with no track record is a massive risk.
Company name on invoice doesn't match the business license. Classic sign of a shell company or unauthorized reseller.
5. Certifications: What They Actually Mean
Certification
What It Covers
How to Verify
ISO 9001
Quality management system — process consistency
Check issuing body database with cert number
CE
EU safety + EMC compliance for electronic products
Pro tip: Always ask for the certificate number and verify it on the issuing body's website. Fake certificates are surprisingly common — a PDF is not proof.
6. Third-Party Inspection Services
If you can't visit the factory yourself, hire a third-party inspection company. They'll send an inspector to the factory, take photos, and produce a detailed report. Major providers:
SGS / Bureau Veritas / TÜV Rheinland: Global brands, most expensive ($400–800 per inspection), most trusted by retailers.
Asia Inspection / QIMA: Mid-range ($250–400), good coverage in Zhejiang and Guangdong, online dashboard.
Local Chinese inspection companies: Budget option ($150–250), faster scheduling, but reports may be less rigorous.
A typical inspection checks: product quantity, workmanship, function testing, packaging, labeling, and AQL 2.5 sampling. Schedule the inspection for when 80% of production is complete — this catches defects before everything is packed.
7. The Deposit Safety Rule
Never wire money to a personal bank account. Always pay to the company's official bank account — the name must match the business license exactly. For first orders, consider using Alibaba Trade Assurance or a Letter of Credit (L/C) even if the fees are higher — it's insurance on your first transaction.
